How Umbrella Companies Work in the UK

An end client usually pays a recruitment agency for a contractor’s work. The agency then sends the agreed assignment rate to the umbrella company. After that, the umbrella company calculates employment costs and pays the contractor through PAYE.

The assignment rate does not represent the worker’s salary. Instead, it funds the umbrella margin, Employer’s National Insurance, pension costs and Apprenticeship Levy where applicable. The remaining amount becomes gross employment pay.

From 6 April 2026, new PAYE rules require agencies or end clients in qualifying labour supply chains to ensure that umbrella companies operate PAYE correctly. HMRC explains the current responsibilities.

Umbrella Company Deduction Formula

The first calculation converts assignment income into gross pay:

Gross pay entitlement = Assignment income − Umbrella margin − Employer’s NI − Apprenticeship Levy − Employer pension − Other employment costs

Employer’s NI depends on gross pay, so the calculator solves this relationship automatically instead of applying 15% directly to the assignment rate.

The second calculation estimates the worker’s payment:

Take-home pay = Gross pay paid now − PAYE − Employee NI − Employee pension − Student loans − Other employee deductions

Holiday pay requires separate treatment. Rolled-up holiday pay enters the current payslip, whereas accrued holiday pay remains available for a later payment.

Employer’s National Insurance and Apprenticeship Levy

For 2026/27, the standard Employer’s National Insurance rate is 15% above the £5,000 annual Secondary Threshold. Equivalent thresholds include £96 per week and £417 per month.

The Apprenticeship Levy rate remains 0.5% of an eligible employer’s pay bill. Employers generally become liable when their annual pay bill exceeds £3 million, although a £15,000 annual allowance applies at employer level. Review the official 2026/27 employer rates.

Employer’s NI and the employer pension contribution should reduce the assignment income before gross pay. They should not appear as employee deductions from gross salary.

PAYE Income Tax and Employee National Insurance

The standard Personal Allowance for 2026/27 is £12,570. However, it falls by £1 for every £2 of adjusted net income above £100,000 and reaches zero at £125,140.

For most Category A employees, Employee National Insurance is 8% between £12,570 and £50,270 annually. A 2% rate applies above the Upper Earnings Limit. Meanwhile, weekly payroll uses thresholds of £242 and £967.

National Insurance rates remain UK-wide. Therefore, changing the tax region affects PAYE but does not change standard Employee NI. See the Scottish Government’s 2026/27 tax bands.

Holiday Pay Through an Umbrella Company

Workers with qualifying irregular hours or part-year contracts can receive rolled-up holiday pay at 12.07% of ordinary pay. In that case, the umbrella adds holiday pay to each payslip and identifies it separately.

Alternatively, the company may accrue holiday funds and pay them when the worker takes leave. Regular-hours employees generally receive normal pay during annual leave instead of rolled-up holiday pay.

Accrued holiday money is not an umbrella fee. For that reason, the calculator displays the gross holiday reserve separately from current take-home pay. GOV.UK explains the current holiday pay rules.

Workplace Pension Contributions

For 2026/27, the automatic-enrolment earnings trigger remains £10,000. Qualifying earnings generally fall between £6,240 and £50,270.

The statutory minimum normally consists of a 3% employer contribution and enough employee contribution to reach an 8% total, commonly shown as 5% from the employee. Nevertheless, pension arrangements and tax-relief methods can differ.

The calculator applies the minimum rates only after the annualised earnings reach the £10,000 trigger. A custom option also supports alternative qualifying-earnings percentages.

Payroll applies the percentage only to earnings above the relevant pay-period threshold. In addition, a Postgraduate Loan can run alongside another student loan plan. The calculator follows the official 2026/27 deduction thresholds.

Next, review the reconciliation statement. This document should show how the umbrella converted assignment income into gross pay, including its margin, Employer’s NI, employer pension, holiday pay and levy.
